These Terms & Conditions apply to bookings, participation, and use of materials provided by The Wayfinding Project Pty Ltd (“we”, “us”, “our”).

1. Bookings and confirmation

A booking is confirmed once:

  • You receive written confirmation from us, and
  • Any required deposit is paid (see Section 4).

2. Services

We provide interactive, tailored programs/workshops for schools, community groups, junior sports clubs and workplaces.

The agreed scope (format, duration, inclusions, delivery mode, cohort size, and price) is set out in your proposal, booking confirmation, or invoice.

3. Client responsibilities (schools/organisations/clubs/workplaces)

The booking organisation is responsible for:

  • Providing a safe, suitable venue and reasonable access to required facilities
  • Appropriate supervision and duty-of-care arrangements (especially for minors)
  • Informing us of any safety/access needs relevant to delivery
  • Ensuring it has authority/consent to share participant information for delivery and evaluation
  • Ensuring participant conduct supports a safe learning environment

4. Fees and payment terms

All prices are in AUD and include GST where stated.

A) School programs

  • 10% deposit due within 7 days of invoice
  • Remaining 90% due 4 weeks before program start
  • Programs cannot commence until payment is received in full

B) Corporate workshops

  • 50% deposit on confirmation
  • Balance due 14 days before the workshop

C) Community & junior sport workshops

Unless otherwise stated on your invoice/booking confirmation, payment is due in full prior to delivery.

5. Changes to scope

If you request changes beyond the agreed scope (e.g., added sessions, additional cohorts, extra weeks, travel outside the local metro region), we’ll confirm any additional fees in writing before proceeding.

6. Cancellations and rescheduling

Unless your invoice/proposal states different terms:

Client cancellation

  • More than 28 days before start: deposit is non-refundable, but may be credited to one reschedule within 3 months (subject to availability).
  • 28 days or less before start: you may be charged up to 50% of the total fee.
  • 14 days or less before start: you may be charged 100% of the total fee.

Rescheduling

One reschedule request may be accommodated (subject to availability). Additional reschedules may incur admin costs.

If we need to reschedule due to illness, unforeseen events, or safety concerns, we will offer a replacement facilitator where appropriate, a new date, or a pro-rata refund for undelivered services.

7. Participant conduct and safety

Participants must behave respectfully and follow facilitator instructions. We may pause or stop delivery if conditions or behaviour create safety risks or make delivery unsuitable.

8. Not clinical services

Our programs support mindset, resilience, wellbeing education, culture, leadership and team cohesion; they are not medical, psychological, or crisis services. The booking organisation should follow its safeguarding processes where concerns arise.

9. Intellectual property

All workshop content, materials, handouts, and resources remain the intellectual property of The Wayfinding Project Ltd and must not be copied, recorded, distributed, or adapted without written permission.

You may use provided materials internally only for supporting participants involved in the booked service (unless otherwise agreed in writing).

10. Media/recording

Photography/recording during sessions is only permitted where agreed in writing and where required consents are in place (especially for minors).

11. Liability

To the extent permitted by law:

  • We are not liable for indirect or consequential loss.
  • Our total liability for any claim relating to the services is limited to the fees paid for the specific services giving rise to the claim.

Nothing in these Terms limits non-excludable rights under Australian Consumer Law.

12. Governing law

These Terms are governed by the laws of New South Wales, Australia.
